Provisional bookings

A booking is deemed to be provisional until the required deposit is received. Gilling old Mill will accept a provisional booking but should another client subsequently wish to book and confirm the same venue on the same date before the deposit is received no guarantee about availability can be made.


A none refundable deposit of 50% deposit of the charge is required at the time of confirmation. The balance is payable 6 months prior to the commencement of the Licence period. A good housekeeping bond of £500 is payable 14 days before the licence period and will be refunded at the end of the licence provided the terms and conditions of hire have been complied with.

Use of the Premises

  • The hirer will during the licence period be responsible for supervision of the premises, keeping save from damage the premises and all contents of the premises and all persons attending the event whatever their capacity.

  • The Hirer will ensure that the premises are only used for the purposes agreed with the Owner.

  • The Haybarn property sleeps 12 persons and the accommodation of additional guests is strictly forbidden and its facilities are not available to wedding guests. The hot tub at the haybarn property is unavailable after midnight.

  • The Hirer will observe all applicable laws and comply with all conditions and regulations made in respect of the premises by the Fire Authority. Local Authority, the Local Magistrates.

  • In order to comply with sound limitations the bi folding doors to the barn must be closed no later than 9.30 pm.

  • All music must finish no later than 1 am.

  • Candles may be used to decorate and light the barn but they must only be on tables and within a recognised candleholder.

  • No smoking is permitted anywhere in the barn. Guests may smoke outside of the premises.

  • Rescheduling of the event

    I written notice is given by the Hirer to the Owner not less than 6 months prior to the commencement of the Licence Period, and the parties can agree to rescheduling the event for a period within the forthcoming 18 months from the original commencement of the Licence period, then the hirer will pay the administration fee (as defined below).

    A request by the Hirer for a postponement of the event for more than 18 months or a failure by the parties to agree new date for the event shall be treated as a Cancellation.

    The administration fee is defined as £300. The Hirer acknowledges that this fee represents a fair estimate of the loss and expense that will be incurred by the Owner as result o postponement of the event.

    Cancellation of the event

    If written notice is given by the Hirer requesting cancellation of the event prior to the commencement of the Licence Period, the Hirer will pay the cancellation fee (as defined below) and the deposit. If the licence fee has not been paid then the Hirer will pay the cancellation fee to the owner. The cancellation fee is defined as those payments already made under Clause 1 above. Any payments made under clause 1 above are non-refundable. The Hire acknowledges and agrees that the cancellation fee represents a fair estimate of the loss and expense, which will be incurred by the Owner in the event of a cancellation of the event.


    The Hirer will be responsible for making arrangements to insure against any third party claims which may be made against him/her whilst using the premises. The Owner shall maintain Public Liability Insurance to the value of £ million.


    Any damage to the venue, its contents or its grounds that result from misuse or negligence by the Hirer or his/her guests will be deemed the responsibility of the Hirer and will be charged for by Gilling Old Mill on behalf of the venue owner.

    End of Hire

    The Hirer will be responsible for leaving the premises and the surrounding area in a clean and tidy condition, properly locked and secure. The hirer shall place in the bins provided all rubbish resulting from the hiring of the premises and make good any damage caused. The Hirer will indemnify the owner for the cost of making good all damage to the premises suffered during the licence period excluding fair wear and tear.

    Acceptance of conditions

    The payment of the initial deposit is deemed as acceptance of the above conditions.
